PRESENTER GUIDELINES

​ORAL PRESENTATIONS

​

If your abstract is accepted as an oral presentation you will have 15 minutes to present including Q&A. Each presentation session will be 15 mins in total.

 

AV Tips for Oral Presentations:​

​

  • Each room is equipped with a laptop, data projector, and lectern microphone.

  • There are 'clickers' or 'pointers' supplied in each room.

  • Please ensure any video or audio files embedded in your presentation are also brought with you as separate files

  • Both Mac and PC formats will be fine

  • Screens are 16:9 ratio

  • Please upload your presentation on arrival at the conference venue, at least 2 sessions prior to your presentation time. Those presenting on Monday morning can upload their presentations on Sunday afternoon at Te Pae Conference Centre, between 3.00pm and 4.00pm or on Monday morning, between 7.00am and 8.00am.

  • Please bring a backup copy of your presentation with you in the event of any unforeseen circumstances.

POSTER PRESENTATIONS

​

  • If your abstract is accepted as a poster, you will be required to print a poster. 

  • Posters should be A0 portrait layout (1189mm high x 841mm wide). 

  • The poster display boards are Velcro-compatible and Velcro dots will be provided to all poster presenters at the conference.

  • Your poster should be attached to your allocated poster board for the duration of conference, Monday 1st - Wednesday 3rd December. 

  • The poster session will be on Tuesday 2nd in the afternoon, you will need to be present at your poster during your allocated session, to answer questions and discuss your work.

  • Conference attendees will be able to contact each other and ask questions of both poster and oral presenters via the conference app.

CONDITIONS OF PRESENTATION

​

  • Late submissions will not be accepted. Abstracts Close 2 August 2025

  • A condition of acceptance is that one author must present in person at the conference.

  • The presenting author will be required to register for the Conference to ensure their abstract is included in the final programme.

  • Deadline for presenting author registration is 10 October 2025. Similarly, no speaker fee is paid to authors or presenters.

  • It is the responsibility of the submitting author to ensure the accuracy of the content, spelling, grammar and formatting of the abstract, as it will be published as it is submitted.

  • By submitting an abstract, you also grant the Organising Committee permission to publish the abstract in the conference proceedings in hard copy and/or electronic format.

  • Maximum number of submissions is 2 per presenter. It is preferred that the presenting author submits their own abstract. The committee reserves the right to limit the number of presentations to 1 per person,  if the programme is over-subscribed.
